Booking information. When you reserve a room, treatment, dining experience, or activity, we collect details such as your name, contact information, dates of stay, room preferences, dietary requirements, special requests, and payment details necessary to process your reservation.
Contact information. When you email, call, or otherwise reach out to us, we collect the information you provide, including your name, email address, phone number, and the contents of your message.
Technical and analytics information. When you visit our website, our hosting and analytics providers automatically receive limited technical information — such as your IP address, browser type, device type, the pages you view, and the date and time of your visit. We use Vercel Analytics, a cookieless web analytics service, which does not place tracking cookies on your device or use personal identifiers to follow you across sites.
Cookies. Our site uses a minimal number of cookies that are strictly necessary to operate the site and remember basic preferences. We do not use advertising cookies or cross-site tracking cookies.
How We Use Your Information
Booking management. To process reservations, confirm bookings, take payments, handle changes and cancellations, and provide the services you have requested during your stay.
Communication. To respond to your enquiries, send you booking confirmations and pre-arrival information, and follow up after your stay. We will only send marketing communications where we have a lawful basis to do so, and you can opt out at any time.
Service improvement. To understand how guests use our website and services so we can improve content, navigation, and overall experience. Analytics data is reviewed in aggregate.
Legal compliance. To meet our legal, regulatory, and accounting obligations under Japanese law, including any hotel registration and tax record-keeping requirements.
Information Sharing
We do not sell your personal information. We share information only with the limited categories of recipients below, and only to the extent necessary:
Booking platform. Online room reservations are processed via our booking partner at raidenresortandspa.evoke.jp. Information you submit through the booking flow is handled in accordance with that platform's privacy practices in addition to ours.
Payment processors. Card payments are processed by regulated payment providers. We do not store full card numbers on our own systems.
Service providers. Trusted vendors who help us operate the resort and website — for example, our website host, email provider, and analytics provider — process information on our behalf under appropriate confidentiality and data-protection obligations.
Legal requirements. We may disclose information where required by law, court order, or to protect the rights, property, or safety of our guests, staff, or others.
Data Retention
We retain personal information only for as long as it is needed for the purposes described in this policy or as required by law. Reservation and accounting records are retained for the period required under Japanese tax and hospitality regulations. Enquiry correspondence is retained for a reasonable period to support follow-up and quality assurance, and is then deleted or anonymised.
